Do your employees still work the usual 9-5 shifts? Do they still spend hours of their valuable office timing answering and drafting emails? Does the work phone at the desk keep ringing all day long? Perhaps it is time you consider changing that trend. Well, though the shift timings and several other factors cannot be changed we are talking here about the conventional workplace practices, such as emails. So are we saying emails are outdated? When did that happen? It is hard to believe that a few years ago, sending an email itself was considered a pretty advanced step. People were still relying on face-to-face conversations, sorting things out over the phone. And what if a client overseas has something to be looked into? Any of the team member had to be flown to the actual scenario.
Now we talk so much about treating customer as king and how customer satisfaction matters. But how can a company deliver customer satisfaction without the cooperation from its own employees? If you thought an employee who loves his job was just a theory, why not make it practical? To do this, employers are now giving equal attention to the convenience and the ease of the employees as with that of the customers. This is why we see a lot of changes in the present day workplace and offices are becoming more flexible and “relaxed”. While there was a time when people were ogling at the pictures of big offices like Google’s for example that are pretty casual and employee-friendly, almost every company today is trying to incorporate similar “cool” elements in their office spaces. This doesn’t always have to start with couches instead of office chairs and nap-pods and more. A great place to start is by simply making the employee’s work simpler.
Even BYOD (Bring your own device) was a big leap on its own. When an employee feels a sense of freedom, it automatically eases the workplace’s associated stress. Carrying work home would not be a nightmare anymore if it can be carried in the pocket. Why carry a bulky laptop when an intelligent enterprise app on the employee’s smartphone would do the trick just as easily?
Accepting the change:
Emails are good. In all honesty, they’d probably not become obsolete anytime soon. That we know for sure and there is no denying that. The real problem is with the volume of emails that an employee has to face. One smart way is to use intelligent apps that can help prioritizing the emails. Deep work philosophy talks about how several skilled employees spend a lot of their productive hours reading and replying to emails. Sometimes there is almost not value addition in the process. This time could instead be used to do some productive work. The key is not to rule out all existing practices. It is simply to use intelligent apps to make the existing practices better, faster and more convenient. A technology that aims at evolving rather than replacing technology would be simpler to accept.
Intelligent apps would understand the employee’s behavior slowly. This would help track the activities and help sort emails, remainders and others. When there are inaccurate instances corrected, the app would further fine tune itself and start giving more relevant responses. So all it takes is for the employees as well as the business to accept the change and look at the benefits of an intelligent app in the workplace.
Make Work Simpler:
For the customer care employees, for the IT desk team and others who receive tons of emails and queries every day, an intelligent app would come as a boon. Intelligent apps like chat bots in particular can reduce the workload of these teams. Consider for example the life of an IT helpdesk employee. There might be several service tickets raised by the employees. But not all of them might need a physical intervention or for the IT helpdesk member to actually visit the machine which has a problem. Sometimes a simple reboot, a software update, a reset of the settings and other similar actions could all be triggered remotely. Even to direct the employee to perform these tasks a chat bot would often be sufficient. The intelligent apps can thus help sort and separate the queries that are lodged. And later redirect those that are of high priority to the team. This is a simple example that shows how workplace can be made a little less strenuous for the employees.
When we talk about the benefits of Mixed reality in workplaces, one major aspect spoke about is the advantage the technology delivers in meetings and conferences. This also applies to intelligent apps. There could be an app that can take voice based commands to record the meeting proceedings. This would later be able to compile the minutes and send them out to the attendees. This means, better documentation.
Besides all the above mentioned possibilities, there are lots of others that can be reaped. In short, an intelligent app can help save the time and efforts of an employee. It can make data access easier. This would also make information sharing simpler. Employees can connect with employers all over the world and vice versa. Collaboration would also evolve with intelligent apps. And finally, this means that there can be a remarkable increase in the productivity of the team on the whole.
